The Distribution Coordinator will support the Distribution Office. The Distribution Office responsibilities include interacting daily with agencies in our eight county service territory to enter and process orders; coordinate and track agency distribution appointments; provide an outstanding agency experience; work directly with the Distribution Specialist to safeguard and promote the Foodbank’s commitment to service and safety.

Job Responsibilities

  • Welcome, direct, and assist agencies upon arrival to the Foodbank
  • Provide timely and accurate information to agencies regarding order status and product requests
  • Track agency appointments via the appointment software program
  • Enter and process agency orders into the Foodbank system – online, phone and voice mail
  • Audit orders for next day pick ups
  • Work closely with the Distribution Office and Warehouse team to resolve agency disputes
  • Efficiently communicate agency issues and/or questions to the Operations Team
  • Provide timely feedback to the Foodbank regarding service failures or agency concerns
  • Partner with Distribution and the Warehouse to exceed agency service expectations
  • Enter cycle count data
  • Submit weekly/monthly poundage reports to select donors
  • Assistant with data entry from Driver Sheets when necessary
  • Maintain daily receipts log - enter all payments received from member agencies
  • Update the daily menu and ensure accuracy
  • Serve as backup for the Distribution Specialist
  • Ensure Distribution Office area is clean, free of safety hazards; computers are functioning properly and shut down at the end of the work day
  • Performs other duties, as assigned

Required Qualifications

  • Education: Minimum High School Diploma, some college preferred
  • Experience: 1-3 years in a customer service role
  • Must be able to follow all American Institute of Baking, Feeding America, Food and Drug Administration, United States Department of Agriculture, Occupational Safety Hazard Administration, and Foodbank (standard operating procedures and employee handbook) safety regulations
  • Commitment to outstanding customer service.

  • Excellent verbal and written communication skills
  • Ability to work effectively and patiently with a diverse group of individuals, including Foodbank staff and agencies
  • High level of interpersonal skills is required

  • Ability to produce quality work with minimal supervision
  • Must have basic computer experience in MS Office applications and Outlook
  • Proficiency in keyboarding (e.g., talking, listening, and typing simultaneously)
  • Ability to work overtime and weekends, as needed
