The Warehouse Manager is responsible for approximately 20,000 square feet of warehouse space consisting of dry, refrigerated, frozen and Volunteer Center operations. Responsibilities include receiving and storage of overflow inventory from the Main Campus in Akron; repacking senior boxes, salvage and special projects to be transformed and shipped back to the Main Campus in Akron for placement on the menu; receiving shuttled orders from the Main Campus in Akron for distribution to the Foodbank’s most southern partners in Carroll, Holmes, Stark, Tuscarawas, and Wayne counties. Maintaining accurate inventories through consistent cycle counts, audits, and annual physical inventories; maintaining up to date knowledge on all food safety governing regulations to ensure operational compliance; leading the Warehouse Supervisor and providing organizational guidance to all Warehouse team members at all levels to strengthen the performance, culture, and retention of the team; reporting and coordination requirements include interaction and coordination at all levels of Foodbank leadership both at the Stark County Campus and the Main Campus in Akron.

This position reports directly to the Director, Operations with supervisory responsibility for the Warehouse Supervisor and overall accountability for the Warehouse Lead and team and the Volunteer Center Lead and team.

Job Responsibilities

1. Leadership and Supervision

  • a. Direct supervisor and leader to the Warehouse Supervisor.
  • b. Counsel, lead and coach the Warehouse Supervisor to appropriately lead the Warehouse team through day-to-day tactical strategies, connecting to the broader annual operating plan and strategic plan to accomplish target pounds distributed and income generated for the organization.
  • c. Proactively address food safety compliance in accordance with Feeding America, American Institute of Baking, USDA, FDA and ODA on the distribution dock. 
  • d. Assist Warehouse Supervisor and Leads with any and all behavior and performance management opportunities for all team members and provide support and guidance for growth and development.
  • e. Oversee the entire Operations team and provide a positive work environment and the morale is high.

2. Warehouse and Volunteer Center Operations

  • a. Ensure all Warehouse and Volunteer Center Operations (shipping and receiving, inventory placement, distribution, and volunteer center production) are appropriately, staffed and in constant production to achieve monthly and annual pounds and financial goals.  
  • b. Support the Warehouse Supervisor in coaching the Volunteer Center Lead on daily volunteer scheduling, project management of sorting, cleaning, inspecting, repackaging, and transforming of products into Warehouse racking and inventory management system; ensure appropriate planning and volunteer support to meet monthly senior food box repack production goals in alignment with production schedule.
  • c. Coach Warehouse Supervisor on daily product distribution which includes maintaining accurate inventory, overseeing inventory distribution of MarketPlace products, and ensuring food safety and freshness of all MarketPlace products (highly perishable, short dates).
  • d. Ensure all standard operating procedures are followed for inventory control and inventory adjustments (i.e., shortage, damage, disposals, etc.).
  • e. Manage, report and address Warehouse Barcoding System performance and escalate any performance gaps or system needs to Director, Operations.

3. Inventory Management

  • a. Manage the diligence required of inventory management, specifically cycle counts, inventory adjustments and reporting to strengthen preparation for year-end physical inventory.
  • b. Participate in the weekly Inventory Meetings facilitated by the Main Campus in Akron. Provide updates related to volunteer center production goals for the week, forecasting project needs for the Volunteer Center, storage capacity in dry, cooler and freezer to plan for inventory transfers between warehouses and identification of products that have been held in Canton that should be transferred to Akron (expiration dates, no longer on menu, etc.)
  • c. Manage and collaborate with Operational Leadership for year-end physical inventory planning, implementation, and reporting.
  • d. Partner with the Food and Safety Operations Manager on the product recall process and mock recall planning and documentation.
  • e. Responsible and authorized to cease distribution of all products upon suspicion of unsafe food conditions and required to notify the Food and Safety Operations Manager and Director, Operations immediately.
  • f. Ensure staff compliance with Feeding America, American Institute of Baking, USDA, FDA and ODA regulations regarding food safety, storage, and distribution.

4. Facilities Management

  • a. Advise and report the repair and maintenance of warehouse property and/or equipment to the Food and Safety Operations Manager and seek approval for work order.
  • b. Collaborate with Director, Operations and Food and Safety Operations Manager regarding facility improvements needed to maintain compliance with all governing food regulations.

5. Network Partner Relations

  • a. Interact with network partners to ensure a superior customer service experience in collaboration with the Distribution Office Manager and Network Partners and Programs team.
  • b. Collaborate with Network Partners and Programs team to identify any operational improvements based on Network Partner feedback to ensure a superior customer service experience.
  • c. Maintain and strengthen relationships with Network Partners during daily distribution to understand who they are, what they do and how they service their community to best serve their needs at the Foodbank.   

6. Operations Administration

  • a. Provide weekly inventory report to guide menu management decisions while maintaining an inventory of products that are safe for distribution. 
  • b. Provide daily distribution reports to communicate total pounds distributed (in-network and out-of-network).
  • c. Provide daily receiving reports to communicate total pounds received (dry, frozen and refrigerated), as well as product location designation, specifically any decisions for MarketPlace designation and distribution.
  • d. Provide daily production schedule and plan for Volunteer Center Operations that drives volunteer engagement and fully optimizes all production areas to drive revenue. 
  • e. Provide daily scorecard update for facility cleaning.
  • f. Provide daily disposal reports maintaining a percentage of no greater than 3 percent of inventory each month.  

7. Perform other duties, as assigned.

Required Qualifications:

  1. Education:  Bachelor’s degree or equivalent experience required.
  2. Experience:  Five to seven years of progressive leadership and operational experience, preferably in warehouse or logistics management of food
  3. Strong verbal and written communication skills.
  4. Authentic and passionate advocate for Feeding People and Fighting Hunger.
  5. Ability to cultivate relationships with a broad scope of member partners and collaborating businesses and organizations involved in the day-to-day operations of the Foodbank.
  6. Must be able to work independently and anticipate reporting and communication needs of Operations Senior Leadership.
  7. Flexibility to coordinate special projects and Foodbank events, anticipating issues and taking proactive initiative to resolve to ensure a positive Foodbank experience.
  8. Ability to operate forklifts in compliance with OSHA requirements and lift, carry and maneuver equipment daily.
  9. Ability to coach, manage and motivate staff toward goal achievement and a positive culture
  10. Detail oriented, customer service focused, highly organized and results driven
  11. Excellent interpersonal and professional skills; ability to successfully work with and lead a wide variety of individuals.
  12. Ability to work in a fast-paced, dynamic work environment which requires strong project management and time management skills and the ability to remain calm and collected under pressure
  13. Ability to work hours in accordance with meeting Foodbank demands, which could include hours beyond normal operations and weekends
  14. Available during off-hours for communications of all kinds.
  15. Proficiency in MS Word, Excel, PowerPoint and Warehouse Inventory Management and Barcode system, Primarius experience preferred.
  16. Must be able to follow all AIB International, Feeding America, Food and Drug Administration, United States Department of Agriculture, Occupational Safety Hazard Administration, and Foodbank (standard operating procedures and employee handbook) safety regulations.
